3CX voice AI

3CX AI Agents for Reception and Call Handling

Create voice-based receptionist and call-handling scenarios that greet callers, understand intent, use approved company knowledge, collect information, and route each conversation to the right destination.

AI voice receptionist using approved knowledge to route a business call to the right team

3CX ENT/AI + OpenAI

A governed voice layer inside your 3CX call flow

3CX AI Agents connect voice interactions with OpenAI-powered understanding and 3CX routing. They can support receptionist and personal-assistant scenarios, while the organization controls the approved knowledge, instructions, destinations, fallback behavior, and monitoring process.

Typical use cases

Design around a specific caller journey

Greeting and screening

Welcome callers, state the purpose of the interaction, and screen the request before routing.

Intent understanding

Identify whether the caller needs sales, support, an individual, a department, or another approved destination.

Approved answers

Answer common questions using reviewed company information rather than unrestricted assumptions.

Information collection

Collect the minimum details needed for the next routing or service step.

Intelligent routing

Transfer to a person, queue, voicemail, or defined fallback destination.

After-hours handling

Apply an approved after-hours greeting, information path, voicemail, or escalation route.

Multilingual voice

Support designed Arabic and English interactions, with language switching where configured and tested.

Human handoff

Move the caller to a person when the intent is unsupported, confidence is low, or policy requires it.

Requirements

What must be ready before an AI Agent can go live

OpenAI usage is not included in the 3CX license. The implementation requires both an eligible 3CX system and a separately managed provider account.

  • 3CX ENT/AI edition or above
  • A paid OpenAI account and project
  • API billing, budgets, and suitable rate limits
  • Access to suitable OpenAI models
  • Secure API-key creation, storage, and access
  • Configured call routing and fallback destinations
  • Approved company knowledge and conversation instructions
  • Representative testing, monitoring, and change ownership
Knowledge sources and RAG

Give the Agent approved business context

Knowledge sources let the Agent retrieve business-specific content during a conversation. Useful material is curated, owned, reviewed, and refreshed rather than uploaded without a governance process.

Useful knowledge

  • Frequently asked questions
  • Business hours and holiday rules
  • Service and product information
  • Department and routing guidance
  • Approved wording about the organization
  • Escalation and fallback instructions

Content controls

  • Assign an accountable content owner
  • Separate unrelated or sensitive knowledge sets
  • Remove obsolete, unsupported, or confidential answers
  • Review changes before refresh and production use
  • Test unsupported questions and refusal behavior
  • Maintain Arabic and English content independently

Current operational limit

As documented by 3CX and verified on July 18, 2026, the current AI Agent call limit is 3 minutes. This operational limit may change in future releases.

Privacy and governance

Set controls before processing real caller data

The customer must assess the use of OpenAI, voice processing, recording, knowledge content, logs, and retention under its own policies and applicable Saudi requirements. Neither the product nor the provider automatically makes an implementation compliant with Saudi PDPL.

  • Review OpenAI data-processing terms and provider locations
  • Estimate API usage and set spend limits
  • Provide recording notification and obtain consent where applicable
  • Collect only information needed for the approved purpose
  • Approve every knowledge source and restrict sensitive material
  • Limit API-key and administration access
  • Define log, recording, transcript, and deletion periods
  • Complete a Saudi PDPL and sector-specific assessment

AI Agent questions

What does a 3CX AI Agent require?

An eligible 3CX ENT/AI edition or above, a separately paid OpenAI account with billing and suitable model access, a securely managed API key, approved knowledge, configured routing and fallback, and representative testing.

Can a 3CX AI Agent route to a human?

Yes. The receptionist flow can route to defined people, queues, voicemail, or fallback destinations. Human handoff should be designed for unsupported requests, low-confidence situations, sensitive topics, and operational failures.

How long can a current AI Agent call last?

The current 3CX product page states a maximum duration of 3 minutes per AI call, verified July 18, 2026. This release-dependent limit may change.
